Beyond Move Terms & Conditions
Welcome to Beyond Move! These terms and conditions ("Terms") outline the agreement between you ("the member," "client," or "you") and Beyond Move Ltd ("Beyond Move," "we," "us," or "our") for the provision of Pilates classes, courses, workshops, and memberships at our studio in Barnet. By participating in our activities, purchasing our services, or becoming a member, you agree to be bound by these Terms.
1. Health, Safety & Participation
1.1 Personal Responsibility & Medical Disclaimer: Your participation in Beyond Move classes, courses, workshops, and activities is entirely at your own risk. Beyond Move does not accept any responsibility or liability for any injury, illness, loss, or damage to property that may arise during or after your attendance at Beyond Move classes, courses, workshops, or events, unless caused by our proven negligence.
1.2 Health Declaration: You must declare any health issues, injuries, or medical conditions, particularly those that may relate to exercise or increased physical activity, before participating in any class, course, or workshop. We strongly recommend consulting with your GP or a medical professional before starting any new exercise programme, especially if you have pre-existing health conditions or concerns. You must inform your instructor of any changes to your health status.
1.3 Pregnancy Guidelines: If you are pregnant, please inform us immediately.
First Trimester (up to 12 weeks): Our regular classes and courses may be suitable for an uncomplicated pregnancy, provided you were exercising regularly pre-pregnancy and have discussed this with your GP or midwife.
Beyond 12-15 Weeks: With the exception of our dedicated Ante & Post Natal classes and courses, we strongly recommend against participating in our regular classes and courses after the first trimester or approximately 15 weeks of your pregnancy. This is for your safety and the safety of your baby. Please contact us to discuss suitable, specialised options.
1.4 Conduct of Members: While on Beyond Move premises or participating in Beyond Move organised events, members and clients shall conduct themselves in a sensible, safe, and socially acceptable manner, showing respect to instructors, staff, and other participants. Any behaviour deemed disruptive, unsafe, inappropriate, or in breach of studio rules by Beyond Move staff may result in immediate expulsion from the class, workshop, or termination of membership without a refund.
1.5 Medical Leave / Membership Pause: In the event of unexpected exceptional circumstances, such as pregnancy, serious illness, or injury, which temporarily prevent you from participating in classes, you may request a pause or extension of your membership or class expiry. Such requests must be submitted in writing to hello@beyondmove.com and must be supported by a medical letter or other appropriate official documentation. Each case will be assessed on an individual basis, and Beyond Move reserves the right to approve or deny the request, or to offer a credit or refund at its sole discretion. A minimum pause period of [e.g., 2 weeks] may apply.
2. Bookings, Payments & Cancellations (Classes & Courses)
2.1 Class, Course & Membership Order Confirmations: Upon submitting a booking or membership application through our system, you will receive an email confirmation. Please check all details carefully. If you notice any mistakes, please email us immediately at hello@beyondmove.com. All online bookings are final, and your class or session is confirmed upon receipt of payment. Please be sure of your purchase as, generally, no refunds or exchanges can be given, except as explicitly stated in these Terms (e.g., for Beyond Move cancellations or specific medical circumstances).
2.2 Payment Options: Beyond Move accepts Visa Debit, Visa Credit, Visa Electron, MasterCard, Maestro, and Solo cards via our secure payment system. If you choose to pay by bank transfer or cheque, your place is only secured once we have received the payment and notified you of receipt. For any other payment options or to discuss specific arrangements, please contact our team directly at hello@beyondmove.com.
2.3 Client Cancellation & No-Show Policy (Classes & Sessions): For all group classes, a 12-hour cancellation policy applies. If you fail to attend a pre-booked group class (no-show) or if you reschedule or cancel with less than 12 hours’ notice, you will be charged a £17 no-show/late cancellation fee or forfeit your class credit. After three (3) late cancellations within a calendar month, an additional £5 penalty fee will be charged to your stored credit card for each subsequent late cancellation. For all private and duet sessions, a 24-hour cancellation policy applies. If you do not cancel before this 24-hour window, you will be charged for the full session fee. These policies apply to all pay-as-you-go sessions, class packs, and membership inclusions. Please ensure you reschedule or cancel within the specified timeframe to avoid charges or loss of credit. Appointments made for classes or sessions are strictly personal and are not transferable to another person. Emergency Cancellation: We understand unforeseen circumstances can arise. Members may utilise one (1) emergency cancellation per 3-month period without incurring a late cancellation fee. To use this option, you must contact us prior to your class to inform us you wish to use your emergency cancellation.
2.4 Failed Payments & Administration Fees: In the event that any scheduled payment for classes, courses, or memberships (including Direct Debits or recurring card payments) is returned unpaid or dishonoured for any reason, an administration fee of £15 will be applied to your account for each failed payment attempt. This fee must be paid alongside the outstanding amount within 7 days of notification. Failure to settle outstanding payments and fees may result in immediate suspension of your access to Beyond Move facilities and services, and may lead to the recovery of debts through a third-party debt collection agency, with all associated costs borne by the member.
2.5 Class & Course Cancellations by Beyond Move: Beyond Move reserves the right to cancel a class or course if minimum booking numbers are not achieved, or due to unforeseen circumstances such as instructor illness or studio unavailability. In such circumstances:
You will be offered an alternative date for the same class or course.
If no suitable alternative is available, a full refund for that specific class or course will be issued.
Beyond Move will not be liable for any costs incurred by you, including but not limited to travel, accommodation, or any other expenses, due to the cancellation of a class or course by Beyond Move. We will endeavour to give you as much notice as possible.
2.6 Change of Course Date: Beyond Move reserves the right to change a course date should the need arise for any reason whatsoever (e.g., instructor availability, curriculum updates). In such circumstances, Beyond Move will not be liable for any costs incurred by you in relation to travel, accommodation, or any other such expenses. We will endeavour to give you as much notice as possible.
2.7 Waitlist Policy: If you join a waitlist for a class and a space becomes available, you will be automatically added to that class. You will receive an automatic email notification (if enabled in your account settings) confirming your booking. It is your responsibility to monitor your waitlist status and email notifications. By joining a waitlist, you acknowledge and agree to this automatic booking process.
If you are added to a class from the waitlist with more than 12 hours' notice before the class start time, the standard 12-hour cancellation policy (as per section 2.3) applies. Cancellations made after this period will be charged or result in forfeiture of credit.
If you are added to a class from the waitlist with less than 12 hours' notice before the class start time, it remains your responsibility to cancel your booking if you cannot attend. Please notify us immediately by logging into your account or contacting us via email if you are unable to make the class. Failure to cancel will result in a charge or forfeiture of credit.
2.8 Payment Schedule: For all recurring membership payments, payments will be taken automatically every 30 days from the date of your first payment using your stored card details. If a payment fails, we will attempt to retake payment in a few days to renew your membership, in addition to any applicable administration fees as per section 2.4.
3. Workshop Terms and Conditions
These terms and conditions apply specifically to workshops run by Beyond Move.
3.1 Workshop Bookings and Payments: Bookings for workshops are confirmed upon receipt of full payment. Due to the specific nature of workshops, their upfront planning, and often limited spaces, we generally do not offer refunds for cancellations made by clients.
3.2 Workshop Cancellations by Client: If you cannot attend a workshop you have booked:
Refunds are not offered for cancellations.
You may transfer your booking to another person. This transfer must be requested by the original booker at least 48 hours before the workshop start time by contacting Beyond Move at hello@beyondmove.com. Please provide the full name and contact details of the person taking your place.
3.3 Workshop Cancellations by Beyond Move: Beyond Move reserves the right to cancel a workshop due to unforeseen circumstances, insufficient bookings, or instructor unavailability. In such an event:
You will be offered an alternative date for the same workshop.
If no suitable alternative is available, a full refund for that specific workshop will be issued.
Beyond Move will not be liable for any costs incurred by you, including but not limited to travel, accommodation, or any other expenses, due to the cancellation of a workshop by Beyond Move. We will endeavour to give you as much notice as possible.
4. Membership Terms (for 6-Month Minimum Memberships)
4.1 Membership Application: All applications for membership with Beyond Move must be made online or in person at the Beyond Move studio. Each membership application is conditional and subject to approval by Beyond Move.
4.2 Membership Eligibility: All applicants for membership must: a) Be over the age of 18. Proof of age may be required upon demand. b) Be a credit card and/or bank account holder. c) Declare any health issues as per section 1.2. d) Accept that they undertake participation in membership activities entirely at their own risk.
4.3 Refusal & Termination of Membership by Beyond Move: Beyond Move reserves the right to refuse membership to prospective members without giving a reason. Beyond Move further reserves the right to suspend or terminate memberships, or to prevent any member from receiving any of the benefits laid out by their respective membership category, for reasons including, but not limited to, breach of these terms and conditions, inappropriate conduct, or non-payment of fees.
4.4 Minimum Membership Term & Early Termination by Member: All Beyond Move memberships have a minimum commitment period of 6 months. a) If a member wishes to terminate their membership after the initial 6-month minimum commitment period has been completed, they must provide a minimum of one calendar month's written notice to Beyond Move Ltd at hello@beyondmove.com. Membership fees will be payable for the full notice period, regardless of attendance, and no pro-rata payments or refunds for a partial month will be permitted. b) If a member wishes to terminate their membership before the initial 6-month minimum commitment period has expired, an early termination fee will apply. This fee is designed to cover the administrative costs and loss of expected revenue for the remainder of your minimum contractual term. The early termination fee will be calculated as the equivalent of two months' standard membership fees, payable at the time of cancellation. Beyond Move reserves the right to refuse a refund for any upfront payments or refuse to waive this fee for early termination within the initial 6-month period, except as outlined below. c) We understand that unforeseen circumstances can arise. In exceptional cases (e.g., long-term illness or serious injury preventing exercise, or relocation outside a reasonable commuting distance from the studio, supported by appropriate evidence), Beyond Move may, at its sole discretion, consider waiving or reducing the early termination fee. Any such request must be submitted in writing to hello@beyondmove.com with supporting evidence for review.
4.5 Membership Inclusions & Class Usage (with Rollover): Beyond Move offers membership options that include a set number of classes per month (e.g., 4, 8, or 12 classes). These classes are designed to be used throughout your monthly billing cycle. Rollover Credits: For members on a 6-month minimum commitment, any unused class credits from one billing cycle will automatically roll over to the next billing cycle. These rolled-over credits must be used within 30 days from the date of rollover, after which they will expire. Rollover credits cannot be carried over beyond this 30-day period.
4.6 Effect of Cancellation of an Activity and/or Withdrawal of a Membership Benefit: Beyond Move reserves the right to alter, amend, suspend, or withdraw any member benefit without prior notice or consultation with members. Members shall not hold Beyond Move Ltd responsible or liable in any way whatsoever for a change to the membership package.
4.7 Non-Refundable Payments for Discounted Activities: Where a member purports to cancel or fails to attend an activity, class, meeting, or event where a membership discount or benefit has been applied, no payment can be refunded, and any monies still owing will become due immediately.
4.8 Membership Pricing & Renewals: Your monthly membership fee will remain fixed at the rate agreed upon at your membership start date for the duration of your minimum 6-month commitment period. Beyond Move reserves the right to review and change membership fees periodically. Once your initial 6-month minimum commitment period has ended, any subsequent monthly payments will be charged at the then-current standard membership rate applicable at the time of renewal.
5. Intellectual Property & Marketing
5.1 Photo/Video Release: Beyond Move will occasionally take photographs and/or promotional videos during classes, courses, workshops, and events for use in print and electronic marketing materials. This includes, but is not limited to, brochures, advertisements, newsletters, our website, and social media channels. Beyond Move retains the full rights to use these materials in promoting and marketing all courses, workshops, future events, and any other Beyond Move activities. If you do not wish to be photographed or videoed, please inform a member of staff at the start of your class or event.
5.2 Beyond Move Trademarks: The Beyond Move logo and "Peto Pilates" are registered trademarks. No one has any right to use these names or logos without the express written permission of Beyond Move Ltd or their authorised representatives.
6. General Terms
6.1 Limitation of Liability: Notwithstanding anything else contained in these terms and conditions, Beyond Move Ltd shall not be liable to the member for any losses, expenses, or other indirect or consequential loss, whether arising from negligence, breach of contract, or otherwise, except where liability cannot be excluded by law (e.g., for death or personal injury caused by our negligence).
6.2 Changes to Terms & Conditions and Membership: Beyond Move Ltd reserves the right at all times to make changes to these terms and conditions, membership benefits, or prices without prior notice or consent from members. We will endeavour to notify members of significant changes via email or notice on our website/studio.
6.3 Legal Jurisdiction: These terms and conditions and any regulations published by Beyond Move Ltd shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
